Terms and Conditions for the Festive Leaderboard Christmas campaign

The GiveMatch “Festive Leaderboard” promotion enables charities to unlock match funding ahead of schedule, without needing to meet the usual matched donation criteria, through daily competitive rewards. These terms and conditions define eligibility criteria, the process for reward allocation, and the rules for participation in the Leaderboard campaign.

Unless stated otherwise in these terms, GiveMatch’s standard Terms and Conditions, Privacy Policy (the General Terms) and the services agreement between GiveMatch and each participating charity will apply to the Christmas 2024 campaign.

1. Promotion Overview

The Leaderboard Promotion (“Promotion”) is a competitive incentive programme designed for registered charities using GiveMatch.  Through daily rewards based on performance in three categories, charities can unlock match funding from their allocated match pot without the requirement for an individual donor to achieve two successful referral donations. The Promotion will be active from 00:00:00 on 1 December 2024 to 23:59:59 (UTC+0 GMT) on 14 December 2024 (the "Promotional Period").

By participating, charities can increase their match funding to maximise impact during the holiday season.

2. Eligibility

To participate, each charity must:

  • Be a registered, contracted customer with GiveMatch during the Promotional Period.
  • Have match funds available to them as per their contract with GiveMatch. Once a charity’s match funds are depleted, they will no longer be eligible to receive Leaderboard rewards. However, charities can regain eligibility by adding more match funding to their pot by contacting their Customer Success agent.
  • Have at least one active fundraiser or use the GiveMatch plugin during the Promotional Period, through which they can receive donations on the GiveMatch product site.
  • Comply with these Terms and Conditions, GiveMatch’s General Terms, and any applicable agreements.

Ineligible Activities: Any fraudulent activity or actions that violate these Terms, GiveMatch’s General Terms and Conditions, Privacy Policy (the General Terms) or the services agreement between GiveMatch and the participating charity will result in immediate disqualification from the Promotion.

3. Categories and Rewards

3.1 Competition Categories: Throughout the Promotional Period, daily rewards will be awarded to top-performing charities in three categories:

a) Most Raised: Awarded to the charity that raises the highest total amount of funds from supporters each day (excluding match funding).

  • Calculation: Based on gross donations received between 00:00:00 and 23:59:59 GMT each day
  • Conditions: Multiple donations from the same supporter within the same day will contribute towards the total. All donations must be successfully processed and not reversed or disputed.

b) Most Matched: Awarded to the charity with the highest number of successful matched donations each day.

  • Definition of "Successful Matched Donations": Donations that: some text
    • i) Fulfil all matching criteria outlined in the charity's contract. 
    • ii) Are verified and approved for matching. 
    • iii) Are within the remaining match funding available in the charity’s match pot.
  • Conditions: Only matches achieved and confirmed on the specific competition day will be counted.

c) Most Donors: Awarded to the charity with the greatest number of unique donors within a single day.

  • Definition of "Unique Donor": A supporter who donates one or more times during the day, counted only once regardless of the number of donations made.
  • Conditions: Donations from the same donor, identified by their email address and payment details, will be counted as one unique donor for that day. Anonymous donations will be counted separately unless it can be verified that they are from the same source.

3.2 Daily Reward Structure

3.2.1 Primary Rewards:

  • 1st Place: £1,000 in match funding
  • 2nd Place: £750 in match funding
  • 3rd Place: £500 in match funding

3.2.2 Secondary Rewards:

  • 4th Place: £350 in match funding
  • 5th Place: £250 in match funding
  • 6th Place: £200 in match funding
  • 7th Place: £150 in match funding
  • 8th Place: £100 in match funding
  • 9th Place: £75 in match funding
  • 10th Place: £50 in match funding

3.2.3. Currency Conversion for Leaderboard Rewards
For charities operating outside the United Kingdom, leaderboard rewards will be converted from £GBP to the charity’s local currency using fixed conversion rates determined by GiveMatch. These rates are pre-set and may differ from prevailing market rates. The fixed rates applicable for the Promotional Period are:

  • USD: 1.27
  • CAD: 1.78
  • AUD: 1.95
  • ZAR: 22.95
  • NOK: 14.04
  • CHF: 1.12
  • EUR: 1.20
  • IDR: 20,164.00

These fixed conversion rates are final and will apply to all rewards disbursed during the Promotion.

3.3 Timing and Calculations

3.3.1 Daily Period:

  • Each competition day runs from 00:00:00 to 23:59:59 GMT.
  • Winners are calculated at the end of each day at 23.59.59 with results being published instantly
  • The leaderboard shows a live data throughout the day

3.3.2 Tied Results:

In the event of a tie in any category:

a) If a tie between two or more charities occurs for any position, the Daily Reward for that position will be equally split between these charities. 

b) Daily Rewards for positi on 1-10 will still be allocated, no matter how many positions are tied.

3.4 Technical Considerations

3.4.1 System Downtime:

  • If system downtime exceeds 4 hours within any 24-hour period, GiveMatch may, at its discretion, extend or reschedule that day's competition.
  • Affected charities will be notified of any adjustments to the competition period via email.

3.4.2 Data Accuracy:

  • All calculations will be based on GiveMatch's system records.
  • Charities may request verification of results within 24 hours of preliminary results being published.
  • In case of a discrepancy, charities must provide supporting evidence from their GiveMatch dashboard.
  • GiveMatch's final determination after review shall be binding.

3.5 Results Publication

3.5.1 Leaderboard Updates:

  • Leaderboard results will be updated daily and published in the Leaderboard section of each charity’s dashboard on GiveMatch, reflecting the results of the previous day.
  • By participating, winning charities consent to the publication of their charity name and winning amounts.

3.5.2 Data Protection:

  • Individual donor information will remain confidential and not be published.
  • Aggregate statistics may be used for promotional purposes.
  • All data will be handled in compliance with GiveMatch's Privacy Policy and applicable data protection laws.

4. Reward Allocation

  • Total Funding: The match funding for each reward category will come from the annual match pot allocated to each charity, which is £25,000 under our standard contract.
  • Allocation and Fees: Winners in each category winners will be determined daily at 23:59 (GMT), with rewards allocated the following day. All match funding awarded will be distributed by our DAF partner, as part of GiveMatch’s monthly allocation process. 

Charities will receive an invoice for the service fee on any match funding allocation in accordance with their contractual terms with GiveMatch.

  • Payment Schedule: Invoices for all match funding allocated during the Promotional Period will be issued as part of the regular monthly billing cycle.

5. Rules for Participation

  • Daily Competition: Charities are eligible to compete in all three categories every day.
  • Category Wins: Charities can win in multiple categories on the same day, as long as they meet the criteria for each category.
  • Leaderboard Scoring: Scores are calculated at the charity level, combining all campaign activities from individual fundraisers to determine each charity’s total.

6. Disqualification and Fraud Prevention

  • GiveMatch reserves the right to disqualify any charity suspected of engaging in fraudulent activities, including but not limited to creating fake donations or misrepresenting data, to earn rewards. All milestones and rewards are subject to verification by GiveMatch, and any suspected fraudulent behaviour may result in the suspension or forfeiture of rewards.

7. Amendment and Termination of the Promotion

  • GiveMatch reserves the right to modify reward amounts, daily competition structures, and eligibility requirements to ensure fairness and inclusivity for all participating charities. Any changes to these terms will be communicated to via email and updated on the GiveMatch website.
  • GiveMatch also reserves the right to terminate the Promotion at any time without liability or obligation for Rewards that have not yet been disbursed. Charities will be notified of any termination and informed about the status of any pending Rewards.
